We understand that sometimes unexpected things happen that require you to change your plans. As we devote a lot of care and resources to organising an unforgettable offsite, we would like to clarify the cancellation procedure so that together we can balance costs. We hope you will be there, but in the unlikely event that you have to cancel, the following rules apply:

• Cancel before 24 October 2024 - completely free of charge.  

• Cancel between 25 October 2024 and 5 January 2025 - 250 EUR  

• Cancel after 6 January 2025 - 550 EUR  

 

- Departure from service -   

If you leave your employment before the offsite, your registration will automatically expire. Depending on the date of resignation, we reserve the right to apply the above cancellation fees.  

   

- Illness - 

If you are unable to participate due to illness, this is of course very unfortunate. Please let us know sending an e-mail to

the Event Team (cc your local People Lead) and by providing a doctor's note, otherwise, the applicable cancellation fees cannot be waived.  

  

- Work-related reasons -

If an important work appointment prevents you from attending, we ask for a brief confirmation from the client. This way, we can also waive the fee for you.  

   

- Assessment of special circumstances - 

In case of a critical issue, business or private, Laurent Zintz (CFO), on behalf of Projective Group Exco, with the necessary local assistance, will assess the situation and make a decision.  Cancellation costs will be deducted from the net payroll wherever feasible.  

Projective Group is committed to creating event environments that are diverse, inclusive, and safe in which everyone feels welcome. We advocate respect and equality for all and expect all attendees, speakers, and organizers to conduct themselves in a professional manner and to be respectful of others.  

 

- Unacceptable behavior -  

Intimidating, abusive, discriminatory, violent, or harassing conduct will not be tolerated. Harassment includes all forms of offensive or unwanted physical and verbal attention. At their sole discretion, any member of the group leadership, Opco or Management Teams may expel anyone from the event who is found to be engaging in the aforementioned unacceptable behavior.  

 

- Reach out -  

If you see someone behaving disrespectfully and you feel safe and comfortable doing so, you are encouraged to discourage them respectfully from such behaviour.   

 

If you are feeling unsafe, uncomfortable, or unable to address a situation respectfully, please notify the designated member of the group leadership and/or country management teams/opco’s immediately. These dedicated members will be identified and communicated as we prepare for the offsite. We are committed to listening and working to resolve the situation.

If you do not feel safe or comfortable reaching out to these dedicated members, we recommend that you contact someone you trust. They can then reach out to the nominated members of the group leadership and/or country management teams/Opco’s on your behalf."  

 

- Event Code - 

By registering for this event, you agree to the Event Code and accept any actions and decisions taken at the event. A follow-up will be conducted after the event.  

All personal data collected during registration and the event will only be processed for the purpose of attending the offsite and will be kept for two weeks after the event.

During the offsite pictures and videos from the event will be taken which can be published on our website/ social media or shared with our colleagues. If you don’t want your picture or possible appearance in videos to be published, please inform the marketing team.
